Dear Exhibitor,
Depending on whether your stand at MACH or is a shell scheme, space only or ShowReady then you may need slightly different information and forms to help you get ready for the show.
We have your stand at the show listed as a standard Space Only so please see the below guide to this stand type:
- Where to find out more about your space only stand
The best place to find detailed information about your stand is the Exhibitor Manual. You can login to the manual via the E-Zone and find the space only information tab by clicking on the buttons below:
- What forms do you need to submit?
Once you are logged into the exhibitor manual you will need to submit a number of compulsory forms.
For a space only stand these will include:
The H&S Declaration, Risk Assessment and Insurance Form
This form is compulsory and must be submitted by all exhibitors. As a shell scheme you don’t need a stand build risk assessment, but you must cover your set up, open days and breakdown. If you are not sure about what to include then a template to help you is included in the download section of this form.
Exhibitor Access Wristband Form
Wristbands are required by both exhibitors and contractors during the build/break, please make sure to send your contractors the link for the contractor version of this form so that they can request the necessary wristbands for their staff – this will help prevent delays in your stand build and deliveries.
Stand Plan Submission Form
Unless your plans have been submitted, reviewed and a permission to build certificate issued you won’t be permitted to start stand construction so please make sure to submit yours.
Keep in mind that at time of writing we have over 180 space only stands on the plans, so the sooner you get your plans submitted the sooner you will get them approved. A copy of the stand build regulations is attached, we recommend sending these to your stand contractor along with your initial briefing to ensure that the designs are compliant with the rules.

If you haven’t yet selected a stand builder for your space only build why not visit the ESSA directory, they are the trade association for contractors in the events industry and they have an accreditation process to help find you a reliable and high-quality company for your build.
- Ordering Additional Services
The ‘Order Forms’ page on the Exhibitor Manual contains links and contact information for all the additional services from catering to plant hire don’t forget to take note of the form deadlines as some services have additional charges for late orders.
- Show Timetable
Remember to check the event timetable on the Exhibitor Manual – the Tuesday, Wednesday and Thursday morning of the build-up week are for lifting only and no stand construction is permitted. Thursday afternoon is restricted to stand builds of over 150m² so please make sure you are aware of when you can access the halls.
Please also remember that you will need a high vis vest to access the halls during the build period.
